This policy explains how Reputation Rise Ltd collects, uses, and protects personal data. It applies to visitors of reputationrise.co.uk and to prospective and current clients.

1. Who we are (Controller)

Reputation Rise Ltd is the data controller for the personal data we hold about you.

2. What data we collect

Via the contact form

  • Name
  • Email address
  • Company (optional)
  • Message content
  • Technical data automatically collected by our form provider (IP address, timestamp) to protect against spam

Via analytics (only if you consent)

  • Anonymised usage data — pages viewed, approximate location (country/region), device type, referrer
  • No data that directly identifies you is collected for analytics purposes

During client engagement

  • Business contact details, organisation information, meeting notes, engagement scope and outcomes
  • Any further information you choose to share during our work together

3. Why we collect it (lawful basis)

  • Responding to enquiries — legitimate interest (responding to your request) + your consent for retention
  • Delivering engagements — performance of a contract
  • Analytics — your consent (via the cookie banner)
  • Legal & regulatory obligations — e.g. record-keeping under tax law

4. How long we keep it

  • Contact form submissions: 24 months from receipt, then deleted, unless an engagement begins
  • Client records: 7 years from end of engagement (UK accounting / tax record requirement)
  • Analytics: anonymised, retained for 14 months by Google Analytics then auto-deleted

5. Who we share it with (Processors)

We never sell personal data. We use the following third-party processors to run the site and the business:

  • Web3Forms — handles the contact form submission and forwards it to our inbox. Privacy policy.
  • Google Analytics 4 (Google Ireland Limited) — analytics, only if you consent. IP anonymisation applied. Privacy policy.
  • Guru.net — hosting provider (servers based in the UK).
  • Google Workspace / Microsoft Outlook — email correspondence.
  • Professional advisers — accountants, lawyers (where relevant, under confidentiality).

Some of these providers may transfer data outside the UK/EEA. Where that happens, we rely on UK Adequacy decisions or Standard Contractual Clauses to protect your data.

6. Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion ("right to be forgotten")
  • Object to, or restrict, processing
  • Request a copy in a portable format
  • Withdraw consent at any time (without affecting processing already carried out)

7. Complaints

If you're not satisfied with how we've handled your data, you can complain to the UK Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint. Helpline: 0303 123 1113.

9. Security

The site is served over HTTPS with HSTS, modern security headers and a secure-by-default hosting provider. Contact-form submissions are transmitted over encrypted connections. Access to client data is limited to Danielle Leach and, where strictly necessary, nominated professional advisers under confidentiality.

10. Changes to this policy

We may update this policy. The "Last updated" date at the top reflects the most recent change. Material changes will be highlighted on the homepage for at least 30 days.
